Project Management Plan

The project management plan is a useful document to guide the efforts and provide the necessary procedures for the team to complete the project. It will necessarily be udpated as the project progresses to reflect changes that come about because of delays, new discoveries of alternatives, or simply a progression of the development of the project plan. The PMP for our class should consist of:

  1. General project information
    1. Team vision statement
    2. Purpose
    3. Objective
    4. Scope
  2. Major client, stakeholder, and general information (emails, phone numbers, preferred contact methods and times)
    1. Project sponsor information
    2. Mentor (project manage)
    3. Professor
  3. Organizational structure
    1. Organizational chart
    2. Project manager
    3. Design team leader
    4. Key disciplines and team members
  4. Scope of work summary, or work plan
    1. Summarize key tasks and subtasks
    2. Show relationships of tasks to key disciplines
    3. Necessary technical advice (professor help, mentor help)
    4. Other materials and resources (site visits?) required
  5. Project schedule
    1. Planned schedule of activities
    2. Flow chart, Gantt chart, etc.
    3. Responsibility matrix
  6. Project budget
    1. A summary table showing project team names, hours, any other resources (posters, travel, etc.) required.
  7. Communication plan
    1. Hours each member plans to work during the week (regular schedule)
    2. Method of weekly accounting of time and effort and how it will be reported to your PM.
    3. Project team meeting time/place.
    4. Any other information that will help keep your team organized and on task

Working together you should organize your teams and projects by identifying Design Leader (undergraduate team leader), getting to know your Project Manager (graduate student) and scheduling a meeting with your Project Sponsor as soon as possible. Use your proposal and RFP to further elaborate your project plan. Once completed hours could be used to learn important background information (i.e. read books, research on the web, learn software, etc.).

Your project plan will be due in two weeks, but this document will be living and should be updated as necessary throughout the semester.
